We are currently recruiting for an immediately available part time (3 days pw week of choice) temporary Administrator to support our client in the automotive industry. Our client is based in Mulgrave, Melbourne. This role will be fully onsite. The ideal candidate should have solid administrative skills and experience in a similar field and who has supported a finance / sales team prior.

Job Description

Contract length: 4-Month Temp Position
Location: Mulgrave, Melbourne (Fully Onsite)
Hours: Part-time (Casual, 3 days per week - Flexible Days)
Start Date: Immediate Key Responsibilities:

  • Process and manage Direct Sales (DS) vehicles, including ordering parts, finance release, PPSR registration, invoicing, and purchase order management.
  • Handle damage-related claims for Direct Sale vehicles.
  • Provide customer communication support for Direct Sale clients.
  • Assist dealers with Large Fleet orders.
  • Maintain a spreadsheet tracking all Direct Sales vehicles, revenue, and associated costs.
  • Forecast, plan, and manage the ordering process for Direct Sales vehicles.
  • Provide admin support for corporate and large fleet customers.

The Successful Applicant

Must Haves:

  • Advanced Excel skills and an ideal background in finance or accounting.
  • Strong attention to detail and the ability to work under pressure.
  • Minimum 2-3 years experience in a similar admin or financial support role.
  • Ability to adapt to change, stay resilient, and meet tight deadlines.
  • Excellent interpersonal and communication skills to liaise with finance and sales teams.
  • Strong planning and organizational skills to manage tasks efficiently.
  • Proficiency in MS Office applications (Excel, Word, Outlook).
  • Basic experience with accounting/finance software is highly desirable.
