Job Description

Responsibilities of the Client Services Associate Role:



  1. Client Service Excellence:
    • Serve as the first point of contact, providing professional and empathetic client support.
    • Manage client enquiries via email, phone, and in-person, ensuring timely and accurate responses.
    • Facilitate onboarding for new clients and maintain strong, ongoing relationships with existing ones.


  2. Administrative Support:
    • Handle team emails, phone communications, and scheduling of client meetings.
    • Manage documents, including opening and maintaining investment accounts.
    • Liaise with external institutions such as Macquarie and ANZ for account management and settlements.


  3. Operational Support:
    • Share administrative tasks, especially during peak periods.
    • Resolve roadblocks proactively by seeking guidance and demonstrating initiative.
    • Support investment administration tasks like cash account management and transaction preparation.


  4. Compliance and Record-Keeping:
    • Ensure all client transactions comply with regulations and company policies.
    • Maintain accurate records of client interactions, investments, and account details.


  5. Client Meetings and Reporting:
    • Prepare portfolio performance reports and summaries for client meetings.
    • Support the team during client reviews with relevant financial data and documents.


  6. Financial Documentation and Payments:
    • Assist clients with completing financial and tax-related forms accurately.
    • Manage payments, mail, and client communications related to account activities.


  7. Cross-Team Collaboration:
    • Liaise with advisors, external stakeholders, and other internal teams to ensure seamless client experiences.
    • Share insights and contribute to strategies for client retention and satisfaction.
