We are seeking an experienced Executive Assistant to provide dedicated and high-level support to the CEO. This role involves managing a broad range of administrative responsibilities with precision and efficiency. The ideal candidate will have a proven track record of professional experience within the financial sector, exceptional organisational skills, and the ability to thrive in a dynamic, fast-paced environment.

  • Central CBD office location

Our client is a leading public sector organisation with a team size of over 1000. They are based in Melbourne CBD and are well-regarded for their commitment to delivering high quality service to their stakeholders.

Job Description

  • Manage the CEO's diary, scheduling meetings and appointments
  • Prepare and edit correspondence, communications, presentations and other documents
  • Liaise with internal departments and external stakeholders
  • Coordinate board meetings and prepare meeting agendas
  • Manage and review filing and office systems
  • Coordinate project-based work
  • Provide secretarial and administrative support to the CEO
  • Ensure the smooth running of the office on a day-to-day basis

The Successful Applicant

  • Demonstrated professional experience within organisations in the financial sector
  • Strong knowledge of office management systems and procedures
  • Excellent time management skills and the ability to prioritise work
  • Strong organisational skills with the ability to multi-task
  • Excellent written and verbal communication skills
  • Discretion and confidentiality
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Strong problem-solving skills and the ability to work under pressure
