Due to the upcoming retirement of the current Administration Manager, who will remain through to October to ensure a comprehensive handover, we are seeking an experienced and highly organised Administration Manager to join the management team.

Reporting directly to the Business Manager, this role is central to ensuring effective administration, compliance management, quality systems and operational support across the business.

Job Description

This is a diverse and rewarding opportunity for an administration professional who enjoys creating structure, improving processes and ensuring the smooth running of business operations.

Working closely with the Business Manager and owners, you will take ownership of the organisation's administrative functions while supporting compliance requirements, tender documentation, human resources administration and continuous improvement initiatives.

The successful candidate will enjoy a high level of autonomy, a varied workload and the opportunity to become a valued member of a friendly and close-knit team.

Key responsibilities:

  • Coordinate and oversee the company's administrative functions and daily business support activities.
  • Maintain compliance documentation, including ISO 9000 quality records, management systems and audit documentation.
  • Manage contractor compliance requirements, ensuring licences, visas, police clearances and mandatory documentation are current.
  • Coordinate tender submissions, including document preparation, formatting, supporting documentation and submission deadlines.
  • Improve document control, electronic filing systems and information management processes.
  • Assist with the development, review and maintenance of company policies, procedures and governance documentation.
  • Provide HR administration support, including preparing employment contracts, maintaining employee records and supporting onboarding processes.
  • Provide executive support to the Business Manager and owners, including meeting coordination, document preparation and confidential correspondence.
  • Prepare reports, presentations and business documentation.
  • Support ongoing process improvement initiatives across the organisation.



The Successful Applicant

You will demonstrate:

  • Strong administration and coordination experience within a business environment.
  • Excellent attention to detail and the ability to manage competing priorities.
  • Advanced Microsoft Word skills with strong document formatting capability.
  • Strong Microsoft Excel skills.
  • Excellent written communication and proofreading abilities.
  • Experience managing confidential information with professionalism and discretion.
  • A proactive approach to problem-solving and continuous improvement.
  • The ability to work independently while contributing positively to a collaborative management team.
  • Ideally bring experience in a role where you have been responsible for creating structure, improving processes and supporting the wider operations of a business.
