Job Description

Managing patient appointments and specialist diaries.

Answering phone calls and responding to email enquiries.

Welcoming patients and providing a friendly, professional experience.

Preparing and processing referrals, surgical paperwork, and patient documentation.

Coordinating clinic and theatre schedules.

Managing billing, invoicing, and payments.

Liaising with patients, specialists, healthcare providers, insurers, and other stakeholders.

Maintaining accurate patient records and administrative systems.

Supporting the team with general administration and clinic operations.

Looking for ways to improve processes and contribute to an efficient, well-organised practice.

The Successful Applicant

2+ years as a receptionist in a specialist setting

Experience using systems such as Xestro and Heidi AI

Warm, approachable, and patient-focused.

Highly organised with strong attention to detail.

A confident communicator who builds rapport easily.

Proactive and willing to identify ways to improve processes.

Comfortable working autonomously while supporting the wider team.

Experienced in managing appointments, billing, referrals, and patient enquiries.

Passionate about contributing to a positive and collaborative workplace culture.
